A1-Project Design: KCI2-Lessons Learned

Review, apply and exchange lessons learned from and with other projects

🔁 The most expensive mistake in project management isn't the one you made — it's the one you made twice.

Every project leaves behind something invaluable: hard-won knowledge. Lessons written in late nights, difficult conversations, and decisions you wish you'd made differently.

Yet in most organisations, that knowledge quietly disappears.

It sits in a final report no one reads. It lives in the head of a project manager who moves on. It gets buried under the pressure of the next deadline.

We talk about continuous improvement. But are we actually doing it?

Most organisations collect lessons learned. Almost none of them actually use them.

I've seen it repeatedly: a project closes, a retrospective is held, a document is filed — and the same mistakes appear in the very next project. Different team. Same outcome.

This isn't a people problem. It's a systems problem.

The good news? It's entirely solvable.

Here's what high-performing project teams do differently — and the framework that makes it stick:

🔍 GATHER — Before you plan, look back. Mine your PMO's knowledge base. Talk to colleagues. Ask your team what went wrong on their last project. Oracle Primavera Cloud provides a structured Lessons Learned register and project archive to make them searchable and scalable.

⚙️ APPLY — Don't just read lessons. Wire them into your risk register, your project plan, and your team charter. Treat team members as knowledge sources, not just task executors. Make the learning visible in the work.

📊 BENCHMARK — Go beyond your own walls. Use OPC analytics and external research to pressure-test your assumptions and set performance targets grounded in evidence.

📢 SHARE — At every phase gate and at close-out, document and distribute. Be honest about what failed. Share the uncomfortable truths. That's where the real value is.

Lessons learned isn't an admin exercise. It's a competitive advantage.

When it's embedded into your project culture — supported by the right processes and technology — it transforms how your organisation delivers.

Even a failed project becomes an asset.

This is how organisations stop paying for the same lesson twice.
